Managing Activities


The activities are managed and created in the Calendar module.  The default view of the module is shown in the picture below; if your calendar does not look like this, it can be changed in Settings → Additional Settings by disabling the “Enable Calendar Tab” option in Calendar settings section in editing mode. This can be done only by an admin user.

Browsing the Calendar

If the activities in the calendar do not fit into a single page, you can change the page you are browsing using the arrow buttons  above and below the table of activities. You can also move to a certain page by inserting the page number in the box in between the arrow buttons and pressing the Enter key.

The activities can be filtered using filters. Doing this you can view for example only the activities assigned to a certain owner or only the activities that are of type “Call”. You can use a filter that is already made by selecting it in the pick list at the top right corner. You can find more information on the filters in the guide Filters.

Activity Types

There are two different types of activities, events and tasks (= To Do). These two differ in such a way, that events always have starting and ending times and they book this time in the user’s calendar. Tasks on the other hand are used to write down the due dates of jobs or tasks that do not need to be as precisely scheduled – therefore tasks do not book a time in the calendar.

Although there are only events and tasks as the activity types, it is possible to break down events into different event types, for example meeting, call, training, etc. Meanwhile, there can be only one task type. If the task type is not available when you are creating a new activity, please contact an admin.

Activities’ Visibility and Permissions in the System

  • If the activity’s assignee is an individual user, the activity is seen by
    • users from higher-level roles
    • users from same role level if the user has shared the calendar access to other users.
  • If the activity’s assignee is a group, the activity is seen by
    • all the users, groups and roles of the group assigned.

The mobile calendar
