Managing Provision Calculations

Managing different provision models is based on provision groups. The system enables managing four different parallel provision models for the users. The provision model of the user is determined by the provision group they are linked to. Each user belongs to a maximum of one provision group, which means that a user can only get provision according to one provision model.

Provision is determined by Sales Orders. Only one type of provision is paid for each Sales Order, and the provision model for this is determined by the provision group of the Sales Order’s assignee. By the Commission Type Based provision model, the provision can be shared between several users, but the provision paid for each user is always based on the provision model of the Sales Order.

Note! You must determine a sales channel and sales group for each user who should get provision.

Configuring Provision Groups

The provision groups are managed in Settings → Commission Groups.

In the provision groups’ settings you can view, edit and delete the existing provision groups and their types (see the picture below).

A new provision group is created by clicking the New Commission group button. You’ll need to determine a name and a provision group type used in the calculations for the group. After the group is created some of the group types’ settings can be edited with an Edit or Steps function. In addition to No commission type, there are the four different types available, described below.

Commission type based commission

  • A provision group can have several kinds of provision types, and these types can be determined to have type/group based percents which are used to calculate the provision.
  • Typical provision types are for example sales commission, realization commission and transferring commission.
  • To have the user get their provision according to this calculation model, there has to be a defined realization line on every Sales Order’s More information tab. There is an example of a realization line on a Sales Order in the picture below.

 

Adding users to Provision Groups

When a provision group has been created, you can start linking users to it. This is done in Settings → User Commission Groups. On the user’s row, select the wanted provision group in the picklist and click the Save button.

Provision reporting and reporting permissions

For a simple and user-specific need, the user’s provisions can be reported on the user’s own home page with a widget, that shows the actualized provision as a sum vs. the sales target (see the picture below). The user can create the widget by clicking the adding button and selecting Dashboard and then dashboard name Salesorders – Goal vs Provision (Own).

For more thorough need, you can use the custom reports made specifically for provision reporting. Permissions for provision reporting are based on the user’s permissions to different custom reports (see Permissions – Custom Reports) and for sales groups and channels (see Sales Organization Access).

As for Percent steps based commission, the reporting permissions are determined in Settings  Commission Group Permissions. In these settings, you can grant access for the users to provision groups, that the user could report. Note, that the user must also have permissions to the needed custom reports (see above).

In Commission Group Permissions the user is first searched by selecting the user’s sales group and then the access can be granted by checking the needed commission groups on the user’s row.
